Outlook 2000: Out of Office
(too old to reply)

I have two users that, for some reason, the Out of Office
feature is not working for them. It is available for them
to configure; however, it does not send the reply. The
rest of the company is working perfectly well. We are
using W2KPro clients with SP3, O2K SP3, Exchange 2000
SP3. I have checked a couple of MSKB articles, but none
seem to apply.
Anyone have any ideas?

Have we found a Scenario E yet? I have the same problem
here at my location and none of these seem to be the
problem.

We have Exchange 2000, no other rules exists on the
problematic users. The users are in the same
organization..

Hi John,
Thank you for the posting. As you indicated that the
Out of Office
feature is not working on two users. It is available for
them to
configure; however, it does not send the reply. The rest
of the company is
working well.
Based on your description as well as our research and
expereince, I am
listing the possible cause and solution here.
Scenario A
==========
This issue can occur if the mailbox has an alternate
recipient configured
on the server and the "Deliver messages to both recipient
and alternate
recipient" option is not selected. In this scenario, the
incoming message
does not arrive in the recipients mailbox, and the Out Of
Office Assistant
is not initiated.
1. Click Start, point to Programs, click Microsoft
Exchange, and then click
Microsoft Exchange Administrator.
2. Open the properties for the mailbox that has the
alternate recipient
configured.
3. Click the Delivery Options tab.
4. Click "Deliver messages to both recipient and
alternate recipient".
5. Click Apply, and then click OK.
Scenario B
==========
The Out Of Office Assistant is a rule. A list is
generated of rules that
are enabled for a particular mailbox, and the OOF is one
of them. The OOF
is always the last rule that is executed in this list. If
any of the rules
in the list has the Stop Processing More Rules check box
selected, then the
OOF rule is not processed and an OOF message is not
generated.
Scenario C
==========
An Exchange 2000 user (User A) sets up an Out of Office
(OOF) message, but
when User A receives a message from an X.400 user (User
B) who is outside
the Exchange organization, Exchange 2000 does not return
the Out of Office
message to User B. This behavior is by design in
Exchange 2000. Out of
Office messages are sent to Exchange or SMTP addresses
only.
Scenario D
==========
By default, the out-of-office reply to Internet
recipients is turned off.
Many administrators do not allow out-of-office replies to
be sent outside
the Exchange Server organization, so that unauthorized
people do not know
when users are out of the office.
To turn on out-of-office replies to the Internet, follow
1. On the Exchange server, start Exchange System Manager.
2. Double-click Global Settings, and then click Internet
Message Formats.
3. In the Details pane, right-click a domain name, and
then click
Properties. The default SMTP domain is "*".
4. In the Properties dialog box, click the Advanced tab,
and then click to
select the Allow out of office responses check box. This
turns on
out-of-office responses to the Internet for the selected
domain.
5. Stop the Simple Mail Transfer Protocol (SMTP) and
Microsoft Exchange
Routing Engine services, and then restart them.
Hope the above information and suggestion helps and
answers your question.
If anything is unclear, please let me know.
Sincerely,
Cherry Qian

Hi Ronald,

Thank you for the posting.

In order to check to verify whether the Out Of Office has been sent out to
the client, you can enable message tracking and then check the Message
Tracking Center.

To enable message tracking in Exchange 2000:
=========================================

1. Start Exchange System Manager.

2. Locate the Servers container.

NOTE: The Servers container can be at the top level if no Administrative
Groups are defined or displayed. If Administrative Groups are defined or
displayed, the container can be found in the relevant Administrative Group
container.

3. Expand the Servers container to see the list of servers.

4. Click the server on which you intend to enable tracking.

5. Right-click the server, and then click Properties.

6. On the General tab, click to select the Enable Message Tracking check
box.

7. Ensure that the log file maintenance information suits the needs for
logging.

NOTE: By default, log files older than seven days are deleted.

To track a message using the Exchange 2000 Message Tracking Center, follow
these steps:
============================================================================
==

1. Start Exchange System Manager.

2. In the console tree, double-click Tools.

3. Right-click Message Tracking Center, and then click "Track message".

4. On the General tab, under Servers, type the name of the server that the
message was sent from or delivered to.

To browse a list of available servers, click Browse, and then select a
server.

To search for a message, you are only required to specify the server that
the message was sent from or delivered to. For example, to search for a
message from a specific user, type the user's alias, or if you do not know
the user's e-mail address, click Browse to search for the user in the
Active Directory. There are many other search options available in the
Message Tracking Center.

By this way, you can check to verify whether the Out Of Office has been
sent out to the client, If the Out Of Office has be delivered to the
client, it is client issue. Usually some rule filtered the Out Of Office.
If the Out Of Office is not delivered to the client, the issue lies in the
message transport.

In addition, the Out Of Office is only sent once. That means the client
can only receive the Out Of Office once. If it is unexpectedly ruled out,
the client won't receive it anymore.

Hope the above informtion and suggestion helps and answers your question.
If anything is unclear, please let me know.

Sincerely,

Cherry Qian

The messages are not being sent. I am sitting near both
computers as the out of office is turned on then off and
we tried sending the emails from many different accounts.
Most with no rules at all set up.

More and more people are having these issues by reading
these forums. I know that when out of office is turned on
it sets some kind of flag on the server correct? I want
to know is there a way to check the server to see if that
flag is indead being turned on for some accounts and not
others?
